Check in/out

Before moving in

Before you move in, there are certain things to do to finalise your tenancy:

  • You will have all returned an application form and paid your deposits
  • Your guarantor (usually a parent) will have been referenced and approved by UWE houses.  They will have also returned their guarantee form (without this, you will not be permitted to move into the house and your key will not be present at the check-in)
  • You will have each set up standing orders with your online/mobile banking.  A standing order is a regular payment from your bank to UWE houses

On the day you move in 'check in'

On the check in day, we will complete an induction and inventory with you.  We ask that only one person to be present and this will usually be the lead tenant. 

The induction is a run through of how things like the heating and alarms work in the house.

The inventory is where we will check the condition and cleanliness of the whole house and make a record of it (paper copy and video).  We will inspect all the rooms, furniture, and equipment and make sure that everything is as it should be. We will record any items that are missing, dirty, marked, so we know you are not responsible for them.

If the house is not perfectly clean and in good decorative order (we aim to hand it over to you in ‘hotel clean’ standard), it is very important that you report this immediately and our repair and cleaning team will be in to rectify matters.

Important Information for your check in

  • We will meet one of you at the house.  Your keys are waiting in your bedroom doors so you will need to coordinate access into the house with the person doing the induction and inventory
  • You will check the Inventory and Schedule of Conditions and report any repairs, errors, etc.
  • We advise utilities and other providers of your tenancy dates and meter readings

NB: Please check the actual contract before you sign it as there may be particulars that are different for your house.

On the day you move out 'check out'

Well in advance of you moving out, we will send you a cleaning checklist so that you will have plenty of time to clean your room and communal areas and return it to us in an acceptable condition.

On the morning of check out, we will meet one of you at the house to complete a check out inventory.  This is to record the condition of the house and to assess if there will be any deposit deductions.  Please note, we do take into account ‘fair wear and tear’ expected from normal living.

Typical things you may get a deduction for are listed below:

  • House returned to us in a dirtier state than we supplied it at check in
  • Damaged, broken or missing items that were recorded on the check in inventory
  • Replacement keys
  • Repainting of any walls (due to marks from Sellotape, blue tack, strip lights, etc.)
  • Disposal of any rubbish
